The trainer pipeline is a kanban board with seven columns. Each column is a stage. Trainer cards live in one column at a time. You move them by dragging, and you can click any card to open the applicant's profile. This page covers every stage and the actions available at each one.
The trainer pipeline is the first thing you see on a training position — it fills the top of the page. Position details (description, requirements, pricing, logistics) and the position actions live in the Details drawer, opened from the button in the page header.
Opening the pipeline board
From the Training tab, click on a training position to open its detail page. The kanban board is shown below the position metadata panel. Each column heading shows the stage name and the count of trainers currently in that column.
Opening an applicant's profile
Click any trainer card to open that applicant's full profile. The profile mirrors the hiring candidate profile and shows:
- Application & CV — download or view the trainer's CV and read their cover note.
- CV screening — the screening score, the screening narrative, and the strengths / gaps breakdown.
- Pricing — the trainer's desired day-rate and whether it falls within range, alongside the position's range and target.
- Interview — schedule interviews with the trainer and record their outcome (see Interviewing a trainer below).
- Training position — a summary of the position the trainer applied to, with a link back to it.
Trainers do not have competency profiles or development paths, so those sections — present on employee profiles — are deliberately omitted here.
Stage moves stay on the board; the profile is where you read everything captured about the applicant and run the interview flow.
Interviewing a trainer
The applicant profile mirrors the hiring interview flow. In the Interview section, click Schedule interview to open a drawer and:
- Offer two or more time slots (the next two working days are pre-filled; Riyadh time), set the duration, and paste a meeting link or location.
- Add one or more interviewers — any admin or HR admin in the workspace. You are pre-selected by default; tick additional colleagues to include them on the interview.
- Sending the offer moves the trainer to Interviewing and emails the trainer their private interview link — the same offer email the hiring pipeline sends candidates. You can also copy the link from the profile to share it yourself.
The trainer opens the link and picks one of the offered slots, which confirms the interview and fills in the scheduled time. Once confirmed, you can add the interview to your calendar (.ics) and, after the conversation, record the outcome — a 1–5 rating and free-text notes. You can also cancel an interview at any point before it completes. The recorded rating and notes also appear on the trainer's kanban card.
For a quick, lightweight alternative that skips the slot-picking link, the Schedule / Rate button on cards in the Interviewing column lets you enter a date, rating, and notes directly.
The seven stages
Applied
A trainer has submitted their CV and desired day-rate. If CV screening is still running, the card shows a "Screening…" spinner. Once screening completes, the card shows:
- The trainer's name and email
- The screening score (0–100)
- The price-fit chip (green / amber / red) and the desired day-rate vs your target
- A short excerpt of the screening narrative
Actions from Applied: move to Screened (manual review done), or move to Rejected (clearly unsuitable).
Screened
You have reviewed the screening result and confirmed the trainer is worth considering. The full screening narrative, strengths list, and gaps list are visible on the applicant's profile (click the card).
Actions from Screened: move to Shortlisted (want to pursue), or move to Rejected.
Shortlisted
The trainer is on your shortlist. This stage is a holding state while you coordinate with colleagues or await availability confirmation before scheduling an interview.
Actions from Shortlisted: move to Interviewing (ready to schedule), or move to Rejected.
Interviewing
A call or meeting is scheduled or has taken place. Cards in this column show a Schedule / Rate button where you record:
- Scheduled date and time — the planned or actual interview slot.
- Interviewer notes — free-text notes from the conversation.
- Interview rating — a 1–5 score reflecting your overall assessment after the interview.
To record the interview, click Schedule / Rate on the card, fill in the three fields, and save. The saved details then appear on the applicant's profile. The card is not automatically advanced — after completing the interview notes, move the trainer to Offered or Rejected manually.
Actions from Interviewing: move to Offered, or move to Rejected.
Offered
You have extended an engagement offer to the trainer. The trainer is no longer available for other positions from this workspace until the offer is resolved.
Actions from Offered: move to Hired (offer accepted), or move to Rejected (offer declined or withdrawn).
Hired
The trainer is confirmed. The application is closed and the pipeline records the hire. A hired trainer can be referenced in your training records when the engagement takes place.
No further stage moves are possible once a trainer is Hired.
Rejected
The trainer is not proceeding. Moving a card to Rejected requires selecting a rejection reason:
- Not enough experience
- Qualifications do not match
- Price too high
- Price too low
- Not available on required dates
- Selected another candidate
- Position cancelled
- Other (add a note)
The reason and any optional free-text note are stored on the application record and appear in the Rejection reason section of the applicant's profile for audit purposes.
Moving cards
Drag and drop — grab the card and drag it to the target column. A confirmation prompt appears for moves to Offered or Hired, and a reason prompt appears for moves to Rejected. Clicking a card opens the applicant's profile rather than moving it, so use drag to change stages.
Scheduling an interview
Move the trainer to the Interviewing column, then click the Schedule / Rate button beneath the card. Fill in the date/time, your notes, and a 1–5 rating, then save. The interview details are saved to the application record and appear on the applicant's profile.
Making the hire
Moving a trainer to Hired confirms the selection. The pipeline status updates to indicate this position has a hired trainer. You can still view the other applications and their rejection reasons from the position detail page.
Closing a pipeline
Once you have hired a trainer (or decided not to proceed with any applicant), use Close hiring from the position detail page. This sets the pipeline status to Closed and removes the public posting URL if one was active. All application records are retained.
