Entering a workspace

For HR administrators

A super admin whose console role holds Enter a workspace can open any workspace and work in it with that role's entry role: an Owner as the workspace's Workspace Admin, an HQ Recruiter as its Talent Acquisition (in older workspaces that still have that role), and so on — same screens, same permissions, same data as a member holding that role. There is no special super-admin version of the workspace. Use it for support, for setting up a new workspace on a client's behalf, or when headquarters staff act for one of their organisations.

How to enter

  1. In the console, open the workspace (Workspaces → the workspace) and click Enter workspace.
  2. The workspace opens in a new tab at its home page. The console stays signed in, in its own tab.

Only roles holding Enter a workspace can enter; others don't see the button. A new workspace starts with only the Workspace Admin role, so only an Owner can enter it. Other entry roles work only in older workspaces that still have that role; otherwise entering is refused with "This workspace has no role role. Only the Owner can enter it." See Console roles. You can enter an active or a suspended workspace; a deleted workspace cannot be entered.

While you are inside

  • A slim banner at the top of every page reads "You're in workspace name as platform super admin", with a Return to console button.
  • You act with your entry role in that workspace and only that workspace, including any edits the workspace made to that role. You cannot see other workspaces' data from inside it.
  • Anything you create or change is attributed to "Super admin · your name".
  • Your account inside the workspace is hidden: it does not appear in the people list, the team list, invitation pickers or notification lists, and it never counts as one of the workspace's Workspace Admins.
  • A visit lasts at most 12 hours. After that, enter again from the console.

Leaving

Click Return to console in the banner. You are signed out of the workspace and taken back to that workspace's page in the console. Signing out from inside the workspace also ends the visit. Either way the visit ends everywhere, including any copy of it in another browser, while your console session stays signed in.

If you are stepped out, your console role changes, or your role's entry role changes while you are inside, the visit ends on your next click.

Who sees your visit

Every entry and exit is recorded, with the role you entered as, and so is everything you change inside. The workspace sees it in its Audit log under Super admin activity — who entered, as which role, when, what they did, and when they left. A visit that ended because the session expired, rather than through Return to console or sign-out, shows there with no recorded exit.
