Once you open hiring on a training position, trainers can view the public posting and then apply after creating a trainer account or logging in. This page explains where the public posting lives, how the login-gated application flow works, what the form collects, and how the automatic CV screening works. After applying, trainers track their application status through a dedicated trainer dashboard.
The public posting URL
When you open hiring with an External or Internal first, then external pathway, a public posting page is created at:
/{your-workspace-slug}/trainers/p/{positionId}
This URL is shown on the position detail page. Share it in any channel — LinkedIn, WhatsApp, a professional trainers' group, an email to your preferred training providers. Anyone with the link can view the position details. To apply, the trainer must create a free trainer account or log in to an existing one.
The posting page shows the course topic (bilingual), the full position description, trainer requirements, the list of provisions your organisation is supplying, delivery mode, duration, number of trainees, language, city, and preferred start date. No pricing is shown to trainers — neither the price range nor the target price. Trainers enter their own desired day-rate when applying, without anchoring to your budget.
The opportunities listing page
Every publicly visible position is also collected on a single listing page:
/{your-workspace-slug}/trainers
This page lists all of your currently open, externally visible training opportunities as cards — each showing the course topic, delivery mode, language, city, and duration — with an Apply link through to the individual posting. Share this one link to advertise your entire open call at once instead of a separate URL per position. The "All training opportunities" link on every posting page returns the trainer here. Positions on an Internal only pathway, or Internal first positions still inside their internal window, do not appear in the list.
Internal-only positions
If the pathway is Internal only, no public URL is generated. Applications for internal-only positions are entered by HR administrators directly via the position detail page.
Internal-first positions
If the pathway is Internal first, then external, the posting page exists from the moment you open hiring but is marked private until the internal window elapses. The external-at date is computed automatically as opening date + workspace internal window (default 14 days).
The application flow
When a trainer clicks Apply on the public posting page, they are directed to create a trainer account or log in to an existing one. Once authenticated, they are taken directly to the application form for the position.
The trainer signup form opens with an optional CV upload as the first step. If the trainer uploads a PDF, the platform stores it and best-effort extracts their full name, email, and phone to pre-fill the rest of the signup form (all fields stay editable; the upload can be skipped). The stored CV is saved to the trainer account (Trainer.cvUrl), so it is already on file when they reach the application form — no second upload is required there. Extraction runs locally by pattern-matching the CV text (no AI involved) and degrades silently to blank fields if the PDF is unreadable.
The application form collects:
- Full name (required)
- Email address (pre-filled from the account — used for any follow-up communication)
- Phone number (optional)
- Nationality (required — used for the position's Saudization policy and shown on the applicant profile)
- Desired day-rate in SAR (required — used for the price-fit signal)
- Cover note (optional free-text — any context the trainer wants to share)
- CV upload (required — PDF only, max 10 MB)
If the position's Saudization policy is Saudi-only, the form blocks submission when a non-Saudi nationality is selected and shows a clear message. Saudis prioritized and No filter positions accept any nationality.
After submitting, the trainer is taken to their trainer dashboard at /{workspace-slug}/trainer, where they can see all their applications across positions, track the current status of each application (Applied, Screened, Shortlisted, Interviewing, Offered, Hired, or Rejected), and view any screening results or interview notes that have been shared with them.
CV auto-screening
Immediately after a trainer submits their application, the platform queues an automatic screening job. The job:
- Parses the CV PDF — extracts structured text from the uploaded file.
- Sends to the AI — the screening model receives the parsed CV text alongside your position's course topic, required qualifications, required licenses, required experience, delivery mode, and duration. It returns:
- A score from 0 to 100.
- A narrative — two to four sentences explaining the score.
- Strengths — bullet list of where the trainer's background aligns with your requirements.
- Gaps — bullet list of what is missing or unclear from the CV.
- Computes price fit — separately from the AI score, the platform checks whether the trainer's desired day-rate falls within your stated price range and computes the delta from your target price. This is displayed as a coloured chip on the trainer card: green (within range), amber (within 20% of the boundary), or red (outside range).
- Persists the result — score, narrative, strengths, gaps, and price-fit are stored on the application record and shown immediately on the kanban card.
Screening typically completes within 30–60 seconds of submission. While it is running, the card shows a "Screening…" indicator.
Auto-advance and auto-reject thresholds
In Settings → Hiring configuration, you can set workspace-wide thresholds that apply to trainer screening just as they apply to candidate screening:
- Auto-advance threshold — applications scoring at or above this value are automatically moved from Applied to Screened without manual action.
- Auto-reject threshold — applications scoring below this value are automatically moved to Rejected.
Applications that score between the two thresholds remain in Applied and wait for your manual review.
What happens after screening
Once screening completes, move the trainer card manually (or via auto-advance) to Screened. From there, the standard pipeline flow takes over — see Working the trainer pipeline.
