Making the hire

For HR administrators

Making a hire is a single click. Behind that click, the platform performs an atomic handoff: the candidate becomes an employee, the role is marked filled, and a draft growth plan is created. The next page explains the handoff in detail; this page covers the action.

Where to do it

From the candidate's profile, or from their card in the pipeline at the OFFERED stage, click Hire.

A confirmation dialog summarises the change:

  • The candidate will become an employee.
  • The role will move from OPEN to FILLED.
  • A welcome email will be sent to the candidate from the workspace.
  • A growth plan will be drafted and made available to them.

You confirm and the action runs.

What you choose at hire time

Three optional fields appear in the dialog:

  • Start date — defaults to today; pick the actual first day if it is later.
  • Reporting line — pick the line manager. Defaults to the line manager already attached to the role; editable.
  • Welcome message — a short personal note appended to the welcome email. Optional; the templated welcome email is professional on its own.

After confirming, the dialog closes and the platform shows you a small success toast with a link to the new employee's profile.

What the candidate receives

An email titled Welcome to the workspace. The body confirms their start date, their role, and contains a link to their first login at /login?workspace={slug}. They use the same email address from their application; the platform creates their User record and sends them a one-time-link to set a password (since they did not have an account previously).

What happens to other candidates in the pipeline

The role's status flips to FILLED. Other candidates who were in the pipeline are not auto-rejected — they remain in their current stages. You decide what to do with them:

  • If the role is permanently filled and you have other open roles, consider moving relevant candidates to those.
  • If you want to close them out, bulk-reject them with a customised rejection email explaining that the role has been filled but you may reach back for future opportunities.

Leaving them parked in the pipeline indefinitely is fine technically, but tends to create awkward silences.

What if you change your mind

There is no automatic undo for a hire. The handoff is a meaningful state change and several records are created downstream from it. If a hire falls through (the candidate withdraws, a contract issue, anything), you can:

  • Mark the new employee as FORMER_EMPLOYEE from their profile.
  • Reopen the role from the role detail page.
  • Optionally archive the growth plan and assessments that were created for them.

The candidate's record is preserved; if they reapply later, you will see the prior history.

Next

The next page describes everything that happens automatically when you make a hire — the atomic handoff in detail. It is short, but it explains why the platform reacts to a single click with so much downstream activity.
